Seat Selection

Group Seating and Check In

Air Canada Vacations offers advance seat selection to Groups, subject to availability for a fee of $10 round-trip per person.

Booked seats for any group may be altered at any time prior to departure at the airline’s discretion.

Although seats are blocked in bulk and seat numbers are assigned, final assignment is subject to change up until the day of departure during airport check-in.

Passport Information

  • A valid passport is required for all passengers (including infants and children). Your passport must be valid for a minimum of 6 months beyond your return date.
  • If your passport is damaged in any way (e.g water damage, rips/tears) you will likely be denied boarding, as your passport will not be accepted for entry into your destination. If this is the case you will be responsible for all costs associated with a new passport and new travel arrangements. Full cancellation penalties will apply with no refunds for unused flights or land arrangements, there will be no exceptions to this rule for anyone denied boarding for any reason.
  • If you are in doubt if the condition of your passport is acceptable – I strongly urge that you apply for a new passport immediately. This is your sole responsibility to ensure you will have your passport in perfect condition prior to your scheduled departure.
  • It is recommended to scan a copy of your passport and keep it in your email (that you can access easily). If you lose your passport in destination, it speeds up the replacement process if you have a copy handy.
  • ** It is your responsibility to ensure your passport is valid as per the rules of the country you are visiting, any visa requirements are met (if travelling on a passport other than Canada or US) Please contact your travel agent if you are unsure of these requirements.

TRIP CANCELLATION & INTERRUPTION INSURANCE

Recent events around the world have caused unexpected travel costs or trip cancellations and interruptions for which some travel insurance provides coverage.

 

Volcanos affecting worldwide airport traffic, travel supplier bankruptcies, travel advisories and weather conditions are just some of the events that you may have heard about in the news.

These events may have caused travellers to pay additional transportation costs, hotel and meal expenses and other unexpected costs, so they could continue their trip or travel back home. These events, and others, are covered, subject to conditions, limitations and exclusions, under Manulife World Travel Insurance.

 

Other covered events are missed connections due to airline schedule changes, the illness or death of you, your family member, your travel companion or your travel companion’s family member, or even the hospitalization or death of a friend. These are just some of the reasons to protect your trip investment if you have to cancel or interrupt your trip.

Other plans available include coverage for lost or stolen baggage, benefits for meals and necessary items when your checked baggage is delayed more than 10 hours, flight and travel accident and rental vehicle damage insurance.

 

Before you travel, check to ensure you have the coverage and assistance services you need.

  • Manulife Travel Insurance is a very comprehensive policy, with many different insurable risks. Pre-existing condition & other exclusions may apply. It is your responsibility to review the policy and to inquire if you have any specific coverage concerns or questions. Please see Policy for all risks, exclusions, terms & conditions.

Payment Details

  • A non-refundable deposit of $250.00 per person is required at time of booking.
  • Base rates are valid if deposit is paid within the qualifying period
  • A limited block of space is being held until May 3rd, 2021 and deposits must be made prior to this date or booking will be based on availability and is not guaranteed.
  • After May 3rd, 2021 any new bookings will need to have the current rates & availability requested.
  • Full payment is due on or before August 11th, 2021.
  • Note all child/teen rates are based on sharing a room with 2 adults.

TERMS & CONDITIONS FOR AIR CANADA VACATIONS PACKAGE BOOKINGS

GUEST PAYMENTS
Visa, MasterCard, American Express, Debit, & Cash, and Electronic Transfer are all acceptable forms of payment. Payments are made directly with Pamela at Weddings by Escapes.
NOTE: Disputed credit card charges that result in a charge back to Air Canada Vacations will be subject to a $250 fee per card.

DEPOSIT
$250.00 CAD per person non-refundable deposit due at time of booking.

FINAL PAYMENT
The remaining balance of your package is due in our office no later than the due date as per any Early Booking Bonus deadline, or in lieu of an EBB date, 75 days prior to departure.
If the remaining balance is not received on the final payment due date, the reservation will be cancelled and all deposits forfeited.

STOP SELL
If the resort becomes sold out and no further rooms are being released, the hotel will go on a “Stop Sell.” A stop sell will not permit name or occupancy changes.

FLIGHT SCHEDULE
All flight times, routings, carriers and aircraft types are subject to change with or without notice. The carrier and tour operator also reserve the right to add enroute stops with no compensation being offered.

Name changes, room occupancy changes or date changes are subject to approval by Air Canada Vacations and by the hotel, and may not be permitted.
Changes cannot be made if the hotel is on a “Stop Sell”. Downgrades are not permitted.

INSURANCE
Weddings by Escapes strongly recommends the purchase of additional travel insurance to protect your family and finances from an emergency situation and expenses due to medical emergencies. This must be arranged at time of booking. Any travellers who decline insurance must sign a waiver. Travel insurance does not cover relationship breakups, declined holiday time, or simply changing your mind. It is important that everyone read their insurance policy to know the stipulations.

REFUNDS
No reimbursements, refunds or credits will be issued for unused travel services or any component of the package. Refunds are not granted for bookings cancelled due to inclement weather or illness. These must be claimed through your travel insurance.

PRICING
All sales are final on a group reservation. Prices are non-negotiable and will not be discounted to match other tour operators, seat sales or online booking engines once under deposit. Seat sales apply to reservations at that time and are not valid on group reservations.

Insurance Waiver and Release,
By responding “NO” to “Travel Insurance Required”, the respondent acknowledges that Weddings by Escapes.ca and it’s travel agent representative offered to discuss both travel & cancellation insurance with the respondent. Furthermore, the respondent accepts all responsibility for any losses suffered by the respondent plus any others on this booking form and releases Weddings by Escapes.ca and it’s representative from any claims for losses due to a lack of, or insufficient insurance coverage.
Please consider carefully. Out of Country Emergency Medical Expenses or Medical Evacuation/Travel Expenses can be very expensive and potentially financially devastating for you or your family.
